Information you provide
When you contact Sweat Is Free, we receive the contact information and messages you provide. We use Zoho Mail for direct email correspondence.
Our Athlete & Family Application is hosted through Google Forms. It collects athlete and parent or guardian information, age or eligibility information, school and sport details, training goals, availability, and program interests. It may also collect information you choose to provide about injuries, physical limitations, medical restrictions, or healthcare-provider instructions relevant to program suitability.
Provide only information needed to evaluate participation. Do not submit medical records or detailed medical history. You may request a private discussion instead. Submitting an application does not authorize participation, medical treatment, testing, photography, or marketing; separate agreements and any necessary permissions are addressed before services begin.
How we use application information
We use application information to evaluate program suitability, respond to inquiries, discuss appropriate services, and coordinate scheduling and next steps. Health-related information helps staff consider participation needs; our training and assessments are not medical diagnosis or treatment.
Within Sweat Is Free, application access is limited to authorized staff who need it for these purposes. Google processes and stores form submissions as the form service provider. Application information is not permission to use an athlete's name, image, health details, or performance information for publicity.
Parents, guardians, and younger athletes
Applications for athletes under 18 must be completed by a parent or legal guardian. Athletes aged 18 or older may complete their own applications.
For athletes under 13, a parent or legal guardian must contact us before submitting an application. The online application routes under-13 inquiries away from the athlete-information sections. Please do not send a child's personal or health details in an initial inquiry; we will discuss appropriate next steps with the parent or guardian.
If you believe a child submitted personal information without the required parent or guardian involvement, contact us so we can review and address it.
Bookings, purchases, and communications
WellnessLiving handles service reservations, memberships, eligible service purchases, and related client communications. Information entered there is processed through WellnessLiving and its payment services, subject to their privacy terms. Booking through WellnessLiving is separate from the merchandise catalog on this website.
Website merchandise checkout is disabled. You cannot place merchandise orders or submit payment details through the catalog.
Client communications sent through WellnessLiving may include confirmations, reminders, service information, and other messages according to your account settings and permissions. We do not currently operate a newsletter. If we introduce one, we will explain its signup and unsubscribe options and update this policy as needed. Application processing does not itself provide permission for unrelated marketing.
Website services and external links
Vercel hosts this website. Hosting services may process technical request information, such as IP address, browser information, requested pages, and request times, to deliver, protect, and maintain the site.
Links to Google Forms, WellnessLiving, Facebook, Instagram, and other external services take you to services with their own privacy practices. Our Facebook and Instagram links are ordinary external links; we do not use a Meta Pixel on this website. Following a link may allow that external service to collect information under its own policies.
Your browser settings can control or delete cookies stored by websites you visit. These controls do not delete information you have already submitted in an application, email, or booking.
Retention and protection
For applicants who do not enroll, we retain applications for six months after our last contact, then delete the application and associated working copies, including any linked response-sheet copies. If an applicant enrolls, relevant information may become part of the client record; the six-month application rule is not a blanket deletion schedule for booking, payment, or enrolled-client records.
We limit application access to authorized staff and use access controls provided by our service providers. No online service or email transmission can be guaranteed completely secure. Please avoid sending unnecessary sensitive information by email.
Your questions and choices
You may contact us to ask about the information you provided, request a correction or deletion, or withdraw an application. A parent or legal guardian may make these requests for a minor athlete. We may need to verify your identity and authority before acting. Some requests may be limited by applicable recordkeeping obligations or the need to maintain records related to services already provided.
For communications managed through WellnessLiving, use the available message preferences or unsubscribe options, or contact us for assistance. Service-related communications may still be needed to manage a reservation or account.
Policy updates
We will update this page when our information practices change and revise the date shown here. New newsletters, tracking tools, or merchandise checkout may require additional disclosures or choices before they are introduced.
